We want to provide you the opportunity to stay connected with fellow alumni around you by lending support for alumni events and country- or city-based reunions in Singapore and overseas.
Before submitting an application…
We invite our alumni to self-initiate purposeful events to bring together fellow Kingfishers, with support from the Yale-NUS Alumni Affairs team and the Yale-NUS Club. Examples of such events could range from networking sessions to even simple informational teas about your own interests. At the core of our funding principle, we are envisioning bringing together like-minded alumni to connect and bond over career paths, research interests, shared hobbies, and more.
We are also encouraging more of our alumni events to take on a pay-as-you-go or co-pay model, especially if the event is purely social. While you are still welcome to apply for funding for social events, there should be a strong rationale for the funding and the benefits it brings to the community.
Yale-NUS Office in New Haven
The Yale-NUS Office in New Haven can render support for events which are based in the United States (US) on a case by case basis. If you intend to organise an alumni event in the US, please submit the application as per the below guidelines. We will assess the application in consultation with the Yale-NUS Office in New Haven.
The New Haven Office will follow Yale-NUS College’s budget limits and reimbursement guidelines.
Application and Reimbursement Process
- Submit application form to apply for event at least 4 weeks before your event
- Yale-NUS will assess your application and confirm the expenses which are eligible for reimbursement
- If your event is based in the US, we will assess your application in consultation with the Yale-NUS Office in New Haven. They might have suggestions or recommendations to your event.
- Once the application is approved, the event organiser may proceed to make payment for all event-related expenses first
- After the event, submit required information for reimbursement.
- Vendor creation form
- Payee’s Name (as per bank records)
- Payment currency
- Payment amount
- The nature of the expense(s)
- List of Yale-NUS alumni attendees
- Supporting documents (original invoices or receipts)
- Photos of the event (see below)
- Receive reimbursement
Other Guidelines
Yale-NUS Current Students
In line with the College’s objectives to bring alumni and current students together, the College may request that the event organisers include current Yale-NUS students studying on exchange programmes overseas.
Organisational Co-Sponsors
Alumni may wish to organise an event with other co-sponsors. In such cases, the event organisers should inform Alumni Affairs who the other co-sponsors are, and what type of sponsorship they are offering.
Event Photography
For each approved event, the College would like to share photos of the event, either on alumni channels or on the College’s broader social media platforms.
Please arrange for someone to take photos during the event, and send the photos to Alumni Affairs at alumni@yale-nus.edu.sg after the event is over. Please also caption your photos if possible, and help identify the people in the photo as well.
Alumni should ensure that their event attendees give their consent for their photos to be taken and used by the College.
Data Protection
Alumni must share or otherwise communicate the following information with their event attendees:
By sharing your contact and other details as part of the application and reimbursement process, alums are consenting to Yale-NUS College collecting, using and/or disclosing your personal data to third parties (including any third party located outside of Singapore) for the purpose of initiatives and activities related to Yale-NUS College, Yale University and National University of Singapore (NUS).
Alumni event organisers will be responsible for the contact information and personal data that they collect and use as part of implementing their event. They should use the personal information only for the administration of the event, and not share personal contact information with other third parties unless consent is obtained from the attendees to do so.
Reimbursement Guidelines
Prudent funding
The College has limited funds and may not be able to support every event that is proposed by overseas-based alumni. Proposed events will be considered by Alumni Affairs on a case-by-case basis, to assess whether the event supports alumni interaction and is in line with the College’s goals and values.
Partial reimbursement
Upon reviewing the application, the College reserves the right to reimburse a portion of the submitted proposal, or only for certain items, on a case-by-case basis.
Non-Yale-NUS guests
Guests who are not Yale-NUS alumni can be invited to alumni events, but will have to cover their own costs; Yale-NUS is not able to reimburse costs for them. This includes family members, spouses and partners of Yale-NUS alumni guests.
